Co-organising the anniversary event celebrating the 5th anniversary of Klubik Orzełki in Lucerne (Polnischer Verein Luzern – Klubik Orzełki), September 2026.
I was responsible for a large part of the preparations: the event concept and programme, communication, website, promotional materials, cooperation with lottery sponsors and the coordination of the event itself.
Responsibilities
- co-developing the event concept and programme,
- preparing the event website and information for participants,
- managing social media communication, graphic materials and promotional content,
- securing and coordinating 15 lottery sponsors and managing sponsor agreements,
- managing registrations and checking payments,
- creating the event budget and monitoring it throughout the project,
- coordinating volunteers,
- selecting and preparing gifts for the children's lottery and supplementing art supplies,
- running the children's and adults' lottery on the day of the event,
- managing the reception during the event,
- preparing invitation and thank-you messages,
- coordinating the event with all people involved.
Results
- approximately 100 participants, including 45 children aged 0–12,
- attendance of the Consul of the Republic of Poland in Bern,
- 15 sponsors providing prizes for the lottery,
- almost all adult guests left the event with a voucher or lottery gift, while every child could choose a gift or book from the prepared selection,
- the final budget was approximately 20% below plan, despite the final scope of the event being larger than originally expected.
